Automated Expense Reports: Review Team Spending Weekly or Monthly
Yomio Business Mode can send a weekly or monthly email report to the business admin with approved team spending for the completed period, including a total for each member. Use it as a review summary; keep the original receipts and verify records before bookkeeping or tax work.
What the report contains
The weekly report covers the previous Monday through Sunday, and the monthly report covers the previous calendar month. The admin chooses the frequency in Business Mode settings.
The report shows approved expense totals for the team and for each member. If the group requires admin approval, pending expenses are not included in these totals.
When expenses use more than one currency, Yomio converts the totals to the admin’s selected currency using the latest available exchange rates. This is a summary conversion, so check the original transaction and applicable accounting method before using it in formal books.
Set up a useful review routine
- Choose a reporting frequency. Use weekly reports when managers need more regular visibility; use monthly reports for a period-end review.
- Review the figures against receipts and statements. Check unusual amounts, missing entries, and expenses that are still awaiting approval.
- Ask for context where needed. The email is a summary, not a replacement for the full expense record or business purpose.
- Export records for accounting. Business Mode offers QuickBooks and Xero CSV formats. These are files for import and review, not direct account connections or automatic bookkeeping sync.
- Keep supporting documents. The IRS explains recordkeeping and substantiation for business expenses in Publication 463. Requirements differ by expense and tax situation, so use the relevant current rules and professional advice.
What automated reports do not do
A scheduled email does not confirm that an expense is deductible, compliant with a reimbursement policy, or correctly classified for your books. It also does not replace original receipt images, bank or card statements, or review by the person responsible for the accounts.
Treat the report as a prompt to review activity while the period is recent. Resolve questions in the expense record, then use a CSV export when you are ready to prepare the accounting import.
Tip
Weekly automated reports give you the data and cadence; your judgment as an owner or manager provides the interpretation and correction. The system works best when you treat it as a standing agenda item, not optional reading.
