Job Costing and Expense Tracking for Construction and Trades Businesses
A job-cost record needs the purchase receipt, amount, business purpose, and job or cost-code assignment. Capture the receipt promptly, then assign the cost in the accounting or construction system that supports job costing.
Yomio Business Mode can collect team expenses from receipt capture or manual entry, support an optional approval step, send scheduled weekly or monthly summary emails, and export CSV data. It does not provide job, project, work-order, or cost-code fields, nor does it calculate job profitability or connect directly to accounting software.
Set up cost codes before work begins
Use the job numbers and cost codes already defined in your estimate, project budget, or accounting system. Tell the crew which reference to record when buying materials, fuel, tools, or subcontractor services.
If one purchase covers multiple jobs, decide how to split the cost and document the allocation in the system of record. Do not let staff guess at a job assignment after the details have faded.
Capture the receipt and purchase context
For each transaction, keep the merchant, date, amount, currency, receipt image, and a short description of what the purchase supported. Record the job number and cost code in the tool that stores those fields.
If a receipt scan extracts fields or line items, check them against the source image. A receipt does not prove that a material was installed on a particular job, and an approval step does not verify the quantity, delivery, or tax treatment.
Review submissions and export records
A reviewer can compare the expense with the receipt, purchase order, delivery record, and job reference. If the team uses Yomio Business Mode, an administrator can configure an internal approval step and export expense data as CSV. Business Mode also offers weekly or monthly report emails; these are summaries, not scheduled accounting exports.
Before using a CSV, add or verify the job and cost-code fields in the destination bookkeeping workflow. Yomio does not automatically split expenses by job, create job-cost reports, post accounting transactions, or calculate reimbursement.
Reconcile job costs with the project records
At period close, compare receipts with invoices, purchase orders, delivery tickets, subcontractor bills, and the accounting ledger. Check for duplicate charges, returned materials, credits, and purchases shared across multiple jobs.
Use the project or accounting system to compare actual costs with estimates and approved change orders. Keep source documents connected to the final coded entry under your company's retention policy.
Handle tax records in the right system
A receipt app can preserve transaction details, but it cannot decide whether a cost is deductible, depreciable, or allocable to a particular job. For U.S. business records, the IRS explains substantiation and recordkeeping in Publication 463. Rules depend on the expense and taxpayer; use current official guidance or a qualified tax professional. Businesses outside the United States should use their local rules.

- Can reviewers compare receipt, order, delivery, and invoice records?
- Does the export contain the fields the accounting system expects?
- Can the tool produce job-level totals without manual allocation?
Test the entire capture-to-reconciliation process with a small set of real job expenses. Confirm the data reaches the right job and account before relying on the workflow for project reporting.
