Agents need a receipt, amount, date, business purpose, and listing or client reference for expenses that relate to a transaction. Record the reference in the brokerage's transaction, bookkeeping, or expense system so the receipt can be reviewed alongside the deal record.
Yomio Business Mode can collect team expense records from receipt capture or manual entry, support optional approval, send weekly or monthly summary reports, and export CSV data. It does not provide listing or client tags, per-listing reports, commission accounting, tax preparation, reimbursement payments, or direct QuickBooks or Xero sync.
Set a consistent recordkeeping routine
Give agents a clear rule for when and where to capture each expense. Ask them to save the receipt, enter the date, merchant, amount, and currency, and write a short business-purpose note.
For costs linked to a listing, open house, client meeting, or closing, record the property or transaction identifier in the system that supports those fields. If one purchase relates to more than one listing, document how the amount is allocated. Do not rely on memory at tax time to reconstruct the purpose.
Review records before reporting them
A brokerage reviewer should compare the submitted expense with the receipt and transaction record. Check the business purpose, property or client reference, amount, payment method, and any required approval. Keep personal expenses separate from business records according to the brokerage's written policy.
If a team uses Yomio Business Mode, an admin can configure an internal approval step and export CSV data. The approval status shows that someone reviewed the entry; it does not confirm that the cost is tied to the correct listing or qualifies for tax treatment.
Use reports and exports for the right job
Yomio Business Mode can send weekly or monthly team expense summaries and can export expense data as CSV. These features can support record collection and review. They do not create per-listing totals, brokerage commission reports, client invoices, or accounting entries.
After export, match each row to the correct property or transaction in the brokerage's system. Review the destination columns and totals before using the information for an owner statement or accounting report.
Keep tax classifications with the accountant
Expense records help explain what was paid and why. They do not establish whether an expense is deductible, depreciable, or reimbursable. The result may depend on the agent's business structure, client agreements, property use, and current tax law.
For U.S. business travel and expense records, IRS Publication 463 explains substantiation rules for travel, meals, and entertainment. Use current IRS guidance or a qualified tax professional for the specific reporting treatment. Agents and brokerages outside the United States should follow the rules in their jurisdiction.
Reconcile the brokerage and agent records
At the end of the period, compare expense submissions with brokerage transaction files, payment records, commission statements, and accounting entries. Check for missing receipts, duplicate reimbursements, refunds, and costs assigned to the wrong listing.
Keep the source document and final coding decision connected under the brokerage's retention policy. Use a system with structured listing fields if per-transaction reporting is a required part of the workflow.

- Can a broker review only the records their role permits?
- Does the product separate commission, operating, and agent-paid expenses?
- Can the export include listing and transaction references?

Test these tasks with a small group before rolling out a tool across the brokerage. Confirm both the user permissions and the final export format.
