Multi-Currency Expense Tracking for Remote and Distributed Teams
For a distributed team, keep the original amount and currency for every purchase, then record the converted amount and rate basis used by your accounting process. Reconcile that reference value against the final card or bank charge, because the issuer’s conversion date, fees, and settlement amount can differ.
Keep the source amount visible
For each expense, save the receipt, transaction date, merchant, original amount, original currency, business purpose, and person who submitted it. Record the final amount charged to the card or account when it becomes available, along with any foreign-transaction or conversion fee.
Do not overwrite the receipt amount with a converted figure. Keeping both amounts makes it easier for a bookkeeper to review the source document and understand why the settled amount differs.
Choose a consistent conversion policy
Ask your accountant which exchange-rate source and date basis to use. A company policy may use a transaction-date rate, a posted-date rate, or another permitted method. Apply it consistently and preserve enough information to reproduce the calculation.
A receipt app’s converted display can be useful for comparison, but it may not match the amount the card issuer posts. Treat the converted number as a reference until you reconcile it against the settlement record and your accounting policy.
What Yomio can and cannot do
Yomio can preserve the receipt amount and currency and display a converted amount using a historical exchange rate associated with the expense date. The conversion is not a prediction of the final card charge and does not include every issuer fee.
Business Mode can collect team expense records, support optional Admin approval, send scheduled weekly or monthly summary emails, and export records as CSV. It does not provide a live exchange-rate feed, a multi-currency accounting ledger, custom team reporting currency, payroll or reimbursement settlement, or direct QuickBooks or Xero synchronization. Review the exported fields and reconcile them in your accounting system.
A review process for remote teams
- Ask each team member to submit a readable receipt and keep the currency shown on it.
- Record the card or bank settlement amount when it posts.
- Compare the two amounts and note any known fees or timing differences.
- Apply the conversion policy set by your accounting team.
- Review and import the CSV export yourself; confirm that the accounting entry preserves the original amount, converted amount, and supporting receipt as needed.
Keep access limited to people who need the expense record. Avoid putting unrelated personal or sensitive information in receipt notes.
Questions to ask before choosing a tool
- Can it preserve both the original currency and the converted value?
- Can your team identify which rate date or source was used?
- Does the export include the source currency and receipt reference?
- Can your accounting system handle exchange differences and fees?
- Does the tool support the approval, reimbursement, and reporting workflow you need?
A single converted dashboard is not enough if you cannot trace each amount back to its source. Keep the receipt, settlement record, and accounting conversion policy connected.
