How to Compare Ramp, Expensify, and Yomio for a Small Team

How to Compare Ramp, Expensify, and Yomio for a Small Team

Choose an expense tool by how your team pays, submits, approves, and records expenses. A card-centered workflow, employee reimbursements, and receipt-based recordkeeping solve different problems, so compare the process you need before comparing plan prices.

Ramp, Expensify, and Yomio have different product scopes. Confirm each provider's current plan details and test the workflow with your own records before you move the team.

Start with how the expense happens

List the payment methods your team uses today:

  • Company-issued cards.
  • Employee cards followed by reimbursement.
  • Cash or other out-of-pocket purchases.
  • A mix of these methods.

Then write down where a transaction first appears and who is responsible for reviewing it. A tool that begins with company card transactions may suit a team that issues cards and needs spend controls. A receipt-first process may suit a team that primarily needs employees to submit supporting documents for later review.

Do not assume a product supports every payment source or reimbursement method. Check the current plan documentation for the exact workflow you intend to use.

Compare the work each tool must do

Use these questions when reviewing Ramp, Expensify, Yomio, or another provider:

  1. Can employees submit receipts from the devices they use?
  2. Does the product import card or bank transactions, and which institutions or card programs are supported?
  3. Does it support the type of approval your policy requires?
  4. Can it record reimbursements, or does it only organize submissions?
  5. What reports and exports are available on the plan you are considering?
  6. Does it post data through a live connection, or do staff export and import files manually?
  7. What are the plan, seat, card, or transaction fees for your actual use?

Check these details in current product and plan materials. Feature availability, pricing, and integrations can vary by plan, location, payment method, and account setup.

Where Yomio fits

Yomio is a receipt and expense recordkeeping app. It does not connect to bank accounts or import bank transactions. A user can record an expense from a receipt scan or manual entry, then review the stored expense details.

Yomio Business Mode lets team members submit expense records, supports a configurable approval step, can email weekly or monthly expense reports, and provides CSV export. It does not issue corporate cards, pay reimbursements, calculate mileage or tax, or connect directly to QuickBooks or Xero. A CSV export is a file for a separate bookkeeping workflow, not a live accounting integration.

For a team that already has a different card or reimbursement system, check whether receipt records and CSV exports fit alongside it. For a team that needs card issuance, automated bank feeds, or direct accounting sync, compare providers that document those functions on the plan and in the region you will use.

Run a small pilot before choosing

Choose a short period and a representative group of users. Ask them to submit receipts and manual expenses that reflect the team's normal work. Have the reviewer check the records, use the approval process if required, and export the data.

During the pilot, track practical questions rather than promised savings:

  • Were employees able to submit the documents and details your policy requires?
  • Could reviewers find and correct missing information?
  • Did the export include the fields your bookkeeping process needs?
  • Was the file importable with acceptable mapping and review effort?
  • Did the workflow fit your existing reimbursement and payment process?

Keep a sample export and document any manual steps. A successful test does not prove that every future file will import without review.

Keep approval separate from tax and accounting decisions

An approval step shows that a reviewer followed your internal process. It does not establish that a cost is tax-deductible, reimbursable under every policy, or mapped to the correct ledger account. Keep original documents and apply the rules for your jurisdiction and organization.

If you use CSV files, retain a clear connection between the exported rows and the original expense records. Review corrections and duplicates before treating the imported file as complete.

Tip

When every person's spending decision directly affects your cash runway, a review step before reimbursement is a feature, not overhead. Build it into your tool and your process, not as a workaround after the fact.

Frequently asked questions

Is Yomio an alternative to a corporate card platform?

Yomio does not issue corporate cards or import bank transactions. It can organize receipt-based or manually entered expense records for a team. Whether that fits depends on the payment and bookkeeping workflows your business needs.

Does Yomio connect directly to QuickBooks or Xero?

No. Yomio provides CSV export for a separate accounting workflow. Check the receiving product's current import requirements and review the file before use.

Does Yomio pay employees back?

No. Business Mode can support expense submission and optional review, but it does not issue reimbursements. Use your existing payment method or a separate reimbursement service.

Can I compare vendors by monthly price alone?

Compare the full cost for your actual team and workflow. Check plan limits, payment or card fees, implementation requirements, and any manual work that remains. Confirm the terms directly with each provider because prices and plan features can change.
