Expense Tracking for Field Service Crews
A field-service expense process should capture each receipt promptly and preserve the date, merchant, amount, business purpose, and any job or vehicle reference your accounting system requires. A team receipt app can collect documents from technicians, but it may not track routes, mileage, job costs, fuel-card transactions, or reimbursements.
Give technicians a simple submission process
Write down which purchases need a record and what details the office needs with each receipt. A technician may need to note the customer or job, vehicle, equipment, or reason for the purchase. Use a system with dedicated fields for those details; do not assume a receipt’s merchant and total identify the job.
For U.S. tax records, IRS Publication 463 describes substantiation requirements for business travel and expenses. A receipt image alone may not include every detail required for a particular expense. Keep mileage logs, work orders, payroll, and other records in tools that support those records.
What Yomio Business Mode supports
Business Mode lets a team collect receipt scans or manually entered expense records. Members see their own records; Admins can review team records, enable optional approval, receive weekly or monthly scheduled email summaries, and export expense data as CSV.
The export is a file for review and manual import. Yomio does not provide live QuickBooks or Xero synchronization, job or customer coding, route or mileage tracking, fuel-card feeds, reimbursement payments, or a field-service work-order system. A practical field-to-office workflow
- Ask the technician to photograph or enter the expense record soon after the purchase.
- Add the work-order or job reference in the system that has a field for it.
- Review unclear, duplicate, or incomplete submissions before the bookkeeping close.
- Keep mileage, fuel-card, purchase-order, and work-order details in the tools that maintain them.
- Export team records as CSV, review the file, and import it into the accounting workflow.
Choose a reporting schedule that fits your volume. A weekly email summary can help an Admin review submitted items, but it is not a real-time fleet dashboard or proof that every field expense was captured.
Questions for evaluating an app
- Can technicians submit a receipt from the field?
- Can the system record customer, job, vehicle, and cost-code details as structured fields?
- Who can view team submissions and make corrections?
- Does the tool support the approval step your policy requires?
- What appears in the export, and how will your accounting system receive it?
If the app only stores receipts, pair it with a work-order and accounting system that tracks jobs and vehicle activity. Keep each system responsible for the records it is built to manage.
Warning
Missing receipt details can delay reconciliation or require follow-up with the person who made the purchase. Whether a cost is deductible or billable depends on the supporting records, applicable rules, and the client agreement.
Tip
Seats only need to go up as the crew grows — the Admin can add seats any time from the web account dashboard, charged as an immediate prorated amount. There's no self-serve way to reduce seat count if the crew shrinks; contact support for that.
